When to book a holiday party coffee bar, what to serve, and how pricing works for office parties in San Francisco, the Bay Area, and Chicago.
Holiday party coffee catering for offices in San Francisco, the Bay Area, and Chicago: when to book, what to serve, and how pricing works.
Quick answer: Book your holiday coffee bar 6 to 10 weeks before the party, which means October for most December dates. Every Fez coffee bar comes with baristas, milks, syrups, hot chocolate, and cups, quoted for your guest count and hours. Fez doesn't serve alcohol, but our barista can pull fresh shots for your venue's bar at no extra charge, or we can run a zero-proof espresso martini bar for $500.

Why a coffee bar works at a holiday party
December is the busiest month of the year for coffee catering, and most of it is office holiday parties. If your party is in December, the best time to lock in a coffee bar is October.
Not everyone at a holiday party drinks, and the ones who do still want something warm by 8 pm. A barista making seasonal lattes next to the bar gives everyone a reason to stay. For the full service, see our corporate coffee catering page.
When to book holiday party coffee catering
Work backward from your party date.
- Now, 6 to 10 weeks out: lock the date. Send us your date, venue, rough headcount, and party hours. As of October, every December date is still open, and with about 25 carts we can cover several events on the same day, including peak weekends.
- A month out: order branded cups. Fully custom printed cups need about a month, though 3 weeks is usually workable. Short on time? Basic circular stickers take 2 days and premium transfer stickers 4 to 5 days. All three can carry a holiday design. For a mid December party, order printed cups by mid November. See our branded cups guide.
- 2 to 3 weeks out: pick the menu. Our menu changes every month, so December bookings get their own holiday drinks alongside the full espresso bar. Decide whether you also want matcha, hot chocolate, or a zero-proof bar.
- 1 week out: confirm the details. Final headcount, load-in entrance, freight elevator, and who meets our crew on the day.
Missed the window? Ask anyway. We take short-notice bookings when a crew and cart are free.
Holiday party coffee formats
There's more than one way to use a coffee bar in December. Pick the one that fits how your team celebrates.
The evening party bar. The classic setup. The coffee bar runs next to your licensed bar and opens as dinner or dessert winds down. Guests who don't drink get a real option, and everyone else gets a second wind.
The daytime office celebration. Some teams skip the evening event, or want something for people who can't stay late. A coffee bar in the office mid-morning or mid-afternoon, with hot chocolate and seasonal lattes, gives the whole team a moment together without a late night.
A statement cart (Bay Area). For a party that wants a showpiece, we can serve from a vintage Mercedes, a Vespa, or a Piaggio Ape instead of a standard cart. All three are available for Bay Area events, with an upcharge quoted per event. In Chicago, we serve from our espresso carts.
The year-end all-hands. If you close the year with a company meeting, a coffee bar before and after gives people a reason to show up early and stay to talk. See more formats in our corporate event coffee catering ideas.
Holiday coffee bar ideas
Keep the core menu and add two or three seasonal drinks. A short menu keeps the line moving when everyone shows up at once.
Seasonal lattes. Our menu changes every month, so December events get their own holiday drinks alongside the full espresso bar. Year-round house syrups like brown sugar and cardamom stay on the board too.
Hot chocolate. It's included in every booking, so it costs nothing to feature. Put it on the menu board, not just "available on request."
Matcha. A bottomless ceremonial matcha station is $2 per guest. It's a good call for teams where a lot of people skip coffee in the evening.
Espresso martinis, two ways. We don't serve alcohol, but we can still make this work. Our barista pulls fresh shots for your venue's licensed bar, at no extra charge during your service window. Or we run a zero-proof espresso martini bar for a flat $500, so everyone gets the same drink.
Decaf. It's on every cart. At an evening party, plenty of guests want the drink without the caffeine.
Branded touches. Cups with your logo or a holiday design, a holiday cart wrap, or latte printing with a message on the foam. These are optional. Stickers take 2 to 5 days, and fully custom printed cups need about a month. See all enhancements.
How many baristas your party needs
Every quote includes the crew we'd send for your guest count, so you don't have to work out staffing yourself.
Holiday parties have the same problem as weddings: everyone wants coffee at once, right after the food. A crew sized for a steady trickle falls behind in that rush. If your party is close to 200 guests and has a sit-down dinner, ask us whether a second cart makes sense. If guests will drift through over three hours, one cart with a longer window is usually the better value.
In the office or at a venue
In your office. Tell us the load-in entrance, whether there's a freight elevator, and where the bar will stand, and we'll confirm what the cart needs on site. A spot near the kitchen or the main gathering area works best, so the bar draws people in without blocking a doorway.
At a hotel or event venue. We regularly work alongside hotel and venue catering teams. Ask your venue contact early whether they allow outside beverage vendors, and send us their load-in rules.
Outdoors in Chicago winter. It works. Our carts run fine through a 2 to 3 hour service in the cold, and we bring windscreens. Below 20°F, we'll talk through staging and timing with you first.
When to open the bar. Across the events we serve, coffee orders peak after food, not at arrival. If your party has a dinner or dessert, time the coffee bar to open as plates clear. If you want coffee at arrival too, add an hour.
Smaller office celebrations
Not every team needs a full staffed bar. For a small office or a tighter budget, we offer two drop-off services: bottled lattes and drip coffee. Both skip the staffed cart, which brings the cost down significantly.
Drop-off works well for a morning celebration, a team that's split across shifts, or an office that wants something festive without planning a whole event. Tell us your headcount and budget when you ask for a quote, and we'll suggest the setup that fits.

Frequently asked questions
How far in advance should I book coffee catering for a holiday party?
6 to 10 weeks is safest, since December is the busiest month for coffee catering. If you want custom printed cups, order them about a month ahead. Stickers take 2 to 5 days.
Does Fez serve alcohol at holiday parties?
No. Everything from our cart is non-alcoholic. For espresso martinis, our barista pulls fresh shots and your venue's licensed bar adds the spirits. We also run a full zero-proof espresso martini bar for $500.
How much does holiday party coffee catering cost?
It depends on your guest count and how long the bar runs. Every booking includes baristas, milks, syrups, hot chocolate, and cups. Each extra hour is $400, billed in full hours. Request a quote and we'll send an itemized price.
Can you cover more than one holiday party on the same day?
Yes. We run about 25 carts, so we can staff several events on the same day, including peak December weekends.
Can our cups have a holiday design?
Yes. Basic circular stickers, premium transfer stickers, and fully custom printed cups can all carry a holiday design. Stickers take 2 to 5 days, and printed cups need about a month.
What can guests who don't drink coffee order?
Hot chocolate, chai latte, tea, and a seasonal specialty drink are on the menu, and ceremonial matcha is available as an add-on.
Is there a lower-cost option for a small office party?
Yes. Our drop-off services, bottled lattes and drip coffee, skip the staffed cart and cost significantly less than a full coffee bar.
Is hot chocolate included?
Yes. Hot chocolate, tea, decaf, iced drinks, and oat milk are all included in every booking.
Can you serve at an outdoor holiday event in Chicago?
Yes. Our carts handle a 2 to 3 hour winter service, and we bring windscreens. Below 20°F, we plan staging and timing with you first.
