Wedding Coffee Cart Cost: 2026 Guide by Guest Count
What a wedding coffee cart costs in 2026 by guest count: flat prices, what's included, when to serve coffee, and which add-ons are worth it.
Quick answer: A Fez wedding coffee cart costs a flat $1,000 to $5,500, set by your guest count. An 80-guest wedding is $1,500. A 120-guest wedding is $2,500. That covers the baristas, the espresso bar, whole and oat milk, house syrups, decaf, cups, setup, and breakdown. Each extra hour of service is $400.

How Fez prices wedding coffee carts
We price weddings on a flat ladder. Find your guest count, and that's your price for a 2-hour service with the crew shown. There's no per-guest math and no charge for oat milk.
After that, you only have two real decisions: how long you want coffee served, and whether you want extras like matcha or latte printing. This guide walks through both. You can also see how a wedding runs on the day on our wedding coffee bar page.
Wedding coffee cart cost by guest count
Find your guest count, and that's your price. Each tier includes the service window and crew shown.
| Guests | Flat price | Service included | Crew |
|---|---|---|---|
| Up to 50 | $1,000 | 2 hours | 1 cart, 2 baristas |
| 50 to 100 | $1,500 | 2 hours | 1 cart, 3 baristas |
| 100 to 200 | $2,500 | 2 hours | 1 cart, 3 baristas |
| 200 to 300 | $3,500 | 3 hours | 2 carts, 6 baristas |
| 300 to 400 | $4,500 | 4 hours | 2 carts, 6 baristas |
| 400 to 500 | $5,500 | 5 hours | 3 carts, 9 baristas |
Just over a tier line, or past 200 guests? The staffing section below explains when to size down or add a cart.
What's included in every wedding tier
The tier price is the whole price for the coffee itself. Every wedding booking includes:
- Trained baristas at the count shown in the table
- A commercial La Marzocco espresso machine
- Specialty-grade espresso beans
- Bottomless drip coffee and espresso drinks
- Whole milk and oat milk, with no upcharge for either
- House-made syrups: brown sugar, honey lavender, vanilla, and a seasonal flavor
- Decaf espresso on every cart
- Hot chocolate, tea, and iced drinks
- Compostable cups and lids
- Menu and flavor signage
- Setup and breakdown
- Liability insurance, with a certificate for your venue on request
Decaf matters more than couples expect. At weddings we serve, 10 to 20% of guests order decaf, mostly late in the night.
How many baristas your wedding needs
Each tier comes with the crew we'd send to keep the line short. Up to 200 guests, that's one cart with two or three baristas. Past 200, it's two carts and six baristas.
The reason is the dessert rush. After dinner, most of your guests want coffee within the same half hour. One cart can't serve 200 people in under 40 minutes, so a second cart stops being optional at that size.
The opposite mistake is paying for staff you don't need. A 60-guest wedding doesn't need three baristas. Ask for a trimmed quote with two, and we'll discount the tier. For the full math, see how many baristas you need for 100 guests.
When to serve coffee, and what it adds
Your tier includes one service window. The question is where to put it. From what we see at weddings, coffee demand is very uneven across the night.
| Moment | Guests who order coffee | Cost |
|---|---|---|
| Cocktail hour | About 15 to 25% | Included if it's your one window |
| During or right after dessert | About 60 to 80% | Included if it's your one window |
| Late night, before the send-off | Guests still dancing, plus the couple and parents | $400 per extra hour |
If you can only pick one window, pick dessert. That's when the bar gets used most.
Want coffee at cocktail hour and dessert, or dessert and late night? Each hour past your included window is $400, all-in. For a 120-guest wedding, a 4-hour bar is $2,500 plus $800, so $3,300.
Add-ons, and which ones are worth it
Everything a guest needs for a great drink is already in the tier: espresso and drip, decaf, whole and oat milk, house syrups, tea, hot chocolate, and iced drinks. Add-ons are about the look or a second drink menu.
| Add-on | Price | Worth it if |
|---|---|---|
| Matcha, bottomless | $2 per guest | A lot of your guests drink matcha or skip coffee |
| Latte printing (monogram, date, custom art) | $350 | You want the drink itself in photos |
| Custom cart wrap | $500 | The cart is part of your design |
| Chai bar | $500 | You want a caffeine-light option |
| Mocktail bar | $500 | You're planning a dry wedding or want a non-alcoholic option at cocktail hour |
| Custom stickers on cups | $175 per 120 cups | You want a branded touch on a smaller budget |
| Fully custom cups | $2 per cup | Budget isn't tight |
If you're watching the budget, skip the branding first. Guests remember the drinks, not the cups. See all options on our enhancements page.
Choosing a cart style
The classic espresso cart is what most couples book. We also run three statement setups that double as a photo spot:
- Vespa sidecar bar: an Italian scooter with a sidecar espresso bar
- Vintage Mercedes: a 1970s diesel Mercedes converted into a working espresso bar
- Piaggio Ape: a three-wheel Italian truck set up as a coffee bar
Ask which one is free for your date. If your venue has tight load-in or indoor-only space, the classic cart is the safe choice.
Sample wedding coffee bar budgets
These are built from our Bay Area prices above, so you can see how the pieces add up.
| Wedding | Setup | Total |
|---|---|---|
| 45-guest brunch wedding | 2 hours, no extras | $1,000 |
| 120 guests, dessert through late night | 3 hours (2 included + 1 extra) | $2,900 |
| 150 guests, matcha and monogram lattes | 2 hours + matcha ($300) + latte printing ($350) | $3,150 |
| 120 guests in Napa, zero-proof espresso martinis | 2 hours + travel ($150) + zero-proof bar ($500) | $3,150 |
| 250 guests, one long evening window | 3 hours included, 2 carts | $3,500 |
Most of the difference between a $2,500 and a $3,500 coffee bar comes from hours and branding, not the coffee.
Where you're getting married changes the total
The tiers above are our Bay Area prices. Chicago is priced separately, and past that, travel is what changes.
San Francisco and the Bay Area. Travel within 50 miles of San Francisco is included. Wine country and coast venues add one travel fee: $150 for Napa, Sonoma, Santa Cruz, and Monterey, $250 for Big Sur and the Russian River, and $500 at most for Lake Tahoe. Our Bay Area wedding coffee bar cost guide walks through real venue examples.
Chicago. Our Chicago wedding coffee bar cost guide puts most Chicago weddings at $950 to $2,700. It also covers winter logistics for cold-weather receptions.
Anywhere else. We're based in San Francisco, the Bay Area, and Chicago, and we travel for destination weddings. Send us the venue and we'll quote travel.
Comparing quotes, and getting ours
When you line up wedding coffee quotes, check these four things. They're where prices that look similar turn out not to be.
- Is oat milk included? It is with us. If another cart charges for it, ask why.
- How many baristas? One barista for 150 guests means a long line at dessert.
- Is there a wedding markup? Some caterers add 10 to 15% for weddings. We price weddings the same as any other event.
- When do you pay? We don't take a deposit. You pay after the wedding, against an invoice.
To get your exact price, send us your date, venue, guest count, and the window you want coffee served. Request your wedding quote and we'll reply with an itemized proposal.
Frequently asked questions
Is oat milk an extra charge?
No. Whole milk and oat milk are both standard on every Fez cart.
Do you serve decaf?
Yes, on every cart. Expect 10 to 20% of your guests to order it, mostly late at night.
Can you serve espresso martinis?
We don't serve alcohol, but there are two ways to do it. Our barista pulls fresh shots for your venue's licensed bar, at no extra charge during your service window. Or we run a zero-proof espresso martini bar for $500. See our espresso martini bar guide.
Do you do small weddings?
Yes. Weddings up to 50 guests are $1,000 for 2 hours with two baristas.
Can you serve at an outdoor or vineyard wedding?
Yes. We regularly serve outdoor weddings, from Napa and Sonoma vineyard estates to rooftops in San Francisco and Oakland.
When should I book?
Popular Saturdays in wedding season go first, so book as soon as you have a date and venue. Our wedding booking timeline covers what to decide when.
